List every space and transition
For each location, record guest count, purpose, music or microphone needs, power, access, weather exposure, and the time guests enter. Include paths where guests move between spaces if announcements or music should follow them.
A simple zone map helps reveal whether one system can remain in place, whether small distributed systems are better, or whether completely separate rigs are needed.
Protect sound-check time with separate systems
Moving speakers after the ceremony may look efficient on paper but can collide with portraits, cocktail service, guest movement, and reception setup. It also means the next space was not fully tested in advance.
Separate ceremony and reception systems are often the safer choice when spaces are distant or the timeline is tight. The proposal should state which equipment remains in each zone.
Coordinate playback and announcements across zones
Decide whether cocktail music continues while the reception room opens, where the MC makes transition announcements, and whether guests in overflow areas need to hear toasts or formal moments.
Keep required music files and timeline information available to the operator in each active zone. Avoid depending on one device that must be unplugged and carried during guest movement.
Plan power, weather, and staffing by zone
Each location needs verified power or generator support, weather protection, safe cable paths, and a responsible operator. Distant zones may require additional staff when they overlap.
Run a complete test in every active space before guests arrive. Confirm the handoff with the planner and venue so music and announcements feel continuous even though the hardware is distributed.
