Set separate objectives for speech, playback, and entertainment
Corporate programs rarely need every source to operate at the same level. A keynote needs effortless intelligibility, walk-in music should support conversation, video playback should remain consistent with the room, and a closing band or DJ may require a separate exposure plan. Write those objectives into the run of show so the operator is not forced to improvise a single “event volume.”
The World Health Organization’s global standard for safe listening venues and events describes six features that include a maximum average sound level, live monitoring and recording, optimized acoustics and sound systems, hearing protection, quiet zones, and information or training. Its 100 dB LAeq,15min recommendation for amplified entertainment is a ceiling, not a goal and not a guarantee of safety for every listener. A corporate event can often fulfill its purpose at substantially lower levels. Venue rules and applicable law may also require lower limits.
Measure accumulated exposure, not only the loudest moment
CDC/NIOSH recommends an occupational exposure limit of 85 dBA across eight hours and a 3 dB exchange rate, meaning the recommended duration halves with every 3 dB increase. That guidance is especially relevant to engineers, stagehands, planners, security, catering teams, and venue staff who may experience repeated or extended exposure. It should not be presented as a personalized medical threshold for guests.
Use an integrating sound-level meter that can display and store the quantities required by the event plan. IEC 61672-1 specifies performance requirements for class 1 and class 2 sound-level meters. Calibrate and configure the instrument according to its manufacturer, document weighting and averaging settings, and measure representative audience and crew locations rather than relying only on the mix position. A phone application can help identify a possible concern, but it should not be substituted for a required compliant instrument or a documented professional measurement process.
Improve intelligibility before increasing system level
When a presenter sounds distant or muddy, more master level can raise room reflections and background sound along with the voice. Shure’s conference guidance recommends selecting microphones around room size, participant count, presentation style, and whether reinforcement is involved. It also emphasizes placing microphones near talkers and minimizing unnecessary open channels in meeting and conference systems.
Give presenters a rehearsed microphone position, provide a dedicated handheld or aisle station for audience questions, and keep loudspeakers aimed at listeners instead of reflective surfaces. Distributed or delayed zones can reduce the level demanded from the front of the room. Build quieter intervals and ownership into the show plan
Schedule recovery opportunities instead of treating quiet as an equipment failure. Meal service, networking, breaks, registration areas, and an adjacent room or lobby can provide lower-level intervals when the venue layout allows. Make hearing protection easy to find, tell guests where quieter areas are located, and avoid placing staff workstations beside loudspeakers. These choices support access without promising that one arrangement works for every person.
Assign one person to monitor and log levels, one person with authority to reduce them, and a clear response for venue requests or guest concerns. Record the meter, settings, measurement position, program segment, corrective action, and any handoff between operators.
